Welcome to the “Beginner’s Guide to Event Planning” from our “Event Planning 101” section.

Planning an event can be hectic, anything can go wrong, and there's so much to think about and keep track of at the same time. You need a framework to help keep the workflow smooth and focused. That's exactly what today's video is all about!
Every event is different, so there is no one-size-fits-all event planning checklist. However, there are a small number of basic points that apply to every event. Let's go over three of the most important points today in this beginner's guide to event planning.

The first fundamental task of every event planner is to set goals and objectives.
Why are you doing this event?
What do you hope to achieve?
Does it fit the goals of your organization?
These are just some of the questions you need to ask yourself first. If the answer to these is yes, go ahead. If not, you may want to restructure the event or even pause it until the time is right.
When working with performance goals, focus on what you can control. A common mistake made by inexperienced event planners is to focus on things that cannot be controlled. Your goals should help you achieve your objectives.

The second point we need to discuss is possibly the most poorly executed step of any amateur event planner, which is estimating a budget.
There are so many moving parts and pieces of an event that need to be taken care of before the event. And these things cost money! Your event can literally fall apart if your team who came up with the idea forgot to consider the budget for the entire event. You may end up paying much more than you expected or not being able to afford the equipment you need because you lack the funds. Let's quickly go over the things that require the most budget.
– The venue
– Event catering (F&B)
– Other expenses

The third and final component we will address today is announcing and promoting your event.
Once your plan is finalized, start promoting it. About 70% of your final plan is enough. Because advertising and marketing can take a lot of time to gain traction, especially if it is a public event. Don't skip this step under any circumstances. Imagine you have the world's most famous speakers and world-renowned celebrities, but no one knows about your event.

So, congratulations! Your event was a success! But wait, it's not quite over yet. It's incredibly important to evaluate your event to see what went well and what didn't. Go back to the goals of your event and ask yourself some important questions, for example:
– How did we perform compared to our expectations?
– How did your team perform?
– How did the marketing strategy work?
